1) Overview
Legal Matters – White Rabbit Australia is an app designed to help clients capture, organise, and securely upload documents and evidence to Cloud @ White Rabbit, compile a structured evidence briefing (“Brief of Evidence”), and facilitate related services such as assistance with insurance claims, processing forms/applications, and engaging legal practitioners (including lawyers and barristers) when requested.
This Privacy Policy explains what information the app processes, how it is used, how it is protected, and the limited circumstances in which it may be disclosed.
Legal-in-Confidence and privilege statement:
Information uploaded to the Cloud is treated as Legal-in-Confidence within White Rabbit’s environment and handled as confidential and privileged information while held within White Rabbit systems. Whether legal professional privilege applies in a particular situation can depend on the circumstances and the parties involved.
2) Information we collect and process
Depending on how you use the app, we may collect or process:
A) Content you create or upload (Client Content)
- Photos, videos, audio recordings
- Documents and other files you upload
- Notes, matter details, descriptions, and timelines you enter
- Any structured records created in the app relating to a matter (for example, matter logs, incident notes, or checklists)
B) Brief of Evidence and case organisation outputs
- The compiled evidence briefing created from your uploaded content, notes, and matter structure (for example, ordered bundles, summaries you create, and packaging of evidence for review or export)
C) Forms, applications, and claim materials
Where you use the app to process forms, applications, or claims, we may process:
- Form and application data you enter
- Supporting documents and attachments you upload
- Outputs generated for submission (for example, compiled forms, filled templates, or export packages)
This may include (where relevant to your use) insurance claim documentation and supporting evidence.
D) Requests submitted through the app
If the app includes a request feature (for example, a “request an application/form” button), we may process:
- Your request details (what you asked for, matter type, and any context you choose to provide)
- Contact details you provide for responding to the request (if applicable)
- Follow-up messages or clarifications related to fulfilling the request
E) Metadata (data about your content)
- Upload timestamps, file identifiers, folder/matter identifiers
- Technical metadata needed to transfer, store, and verify files (for example, file size, integrity checks, upload/sync status)
- App-generated references required to organise and retrieve items in the Cloud
F) Device and app information (limited, operational)
- Device model/OS version and app version (for reliability and support)
- Network status during upload/sync (to enable core functionality)
G) Location (only if you enable it)
If you grant location permission, the app may process approximate and/or precise location only to support features that require it (for example, incident tagging or recording contextual details). Location access is optional unless a specific feature requires it.
H) Account and access information
To connect you to the Cloud, we may process:
- A client identifier or provisioning/invitation code (if used)
- Authentication/session tokens or credentials required to access the Cloud
- Configuration needed to connect your app to the Cloud (where relevant)
3) How we use information
We use information only to:
- Provide core app functions (capture, organise, upload, access, export your matters)
- Store and manage Client Content, metadata, briefing outputs, and form/application materials in the Cloud
- Compile a Brief of Evidence and related matter bundles to reduce time and cost spent collecting and structuring information
- Assist with workflows such as insurance claims, forms, and application processing where you choose to use those features
- Enable client-directed collaboration (for example, linking a matter to a participating lawyer you choose)
- Respond to app-based requests (including requests for forms/applications or workflow support)
- Maintain security, prevent misuse, and enforce access controls
- Provide technical support when you request help
- Improve reliability and performance (for example, error handling and safe upload retries)
We do not sell your data.
4) Evidence briefing, forms, and legal services facilitation
Legal Matters helps organise your materials and compiles a Brief of Evidence, and may support structured workflows including forms/applications and insurance claims.
- Legal Matters does not itself provide legal advice.
- You may request legal advice in the app. Any legal advice is provided by qualified lawyers (and where appropriate, barristers or a specialised firm) after your briefing is compiled so an informed assessment can be made and the most suitable specialist can be recommended.
- White Rabbit may facilitate access to legal services across areas including family, criminal, business, and administrative law, and may also facilitate external practitioners where a different specialist is better suited to your matter.
- You can also use Legal Matters solely to collate evidence and forward it to your own solicitor. You remain in control of who receives your information.
Forms library and updates:
Legal Matters may provide access to a library of precedent forms and templates (noting that availability may change over time). You may also be able to request additional applications/forms through the app. Where feasible, White Rabbit may build and update features and form workflows in response to user requests.
Separate engagements:
If you engage a lawyer or barrister through the app or otherwise, that engagement forms a separate contract/engagement between you and the practitioner (and/or their firm), subject to their terms.
5) Where your information is stored
- On your device: The app may store content locally (for example, prior to upload, during upload, and for limited offline access where supported).
- In the Cloud: Uploaded content, metadata, briefing outputs, and form/application materials are stored in Cloud @ White Rabbit, hosted in Australia on private servers and not publicly accessible.
6) Sharing and disclosure
White Rabbit does not share Client Content, metadata, or other information with third parties unless:
- You explicitly instruct and agree that specific information be shared; or
- We are required by law to disclose information (for example, a valid court order or other lawful process); or
- Disclosure is necessary to provide the service through service providers operating under strict confidentiality and security controls (see below).
A) Sharing with lawyers/barristers (client-directed)
If you request legal services or choose to share a matter/briefing with a lawyer or barrister:
- Sharing occurs only according to your explicit instructions and consent, and
- Only the material you authorise to be provided will be shared.
B) Client and practitioner as separate entities
If a client engages with a practitioner, that forms a new contract/engagement. In White Rabbit systems:
- The practitioner and the client may be treated as separate entities; and
- Sharing between those entities occurs only according to client instructions and the applicable engagement/contract terms.
C) Service providers
To operate the Cloud, White Rabbit may use carefully selected service providers (for example, for infrastructure, security, or backups). Where used:
- They act under White Rabbit’s instructions,
- They are bound by confidentiality and security obligations, and
- They are not permitted to use your information for their own purposes.
7) Data retention and deletion
We retain information for as long as needed to provide the service and meet legal or contractual obligations, unless:
- You request deletion (where possible), or
- Your engagement terms specify otherwise.
You may request access, correction, export, or deletion by contacting privacy@white-rabbit.com.au. Deletion may be limited where retention is required by law, required to establish or defend legal claims, or required under contractual terms.
8) Security
We use reasonable safeguards designed to protect Client Content, metadata, briefing outputs, and form/application materials, including:
- Access controls and authentication measures
- Secure transmission where supported/required (for example, TLS/HTTPS)
- Operational monitoring and auditing appropriate for a confidential environment
No method of storage or transmission is 100% secure, but we treat confidentiality seriously and take practical steps to minimise risk.
9) Your choices and controls
You can:
- Control app permissions (camera, microphone, media access, location) through your device settings
- Choose what content you upload and how you organise it
- Decide whether to request legal services, insurance claim assistance, or form/application processing
- Decide who, if anyone, receives your briefing or matter materials
- Request privacy support or data requests via privacy@white-rabbit.com.au
10) International data transfers
Cloud @ White Rabbit is hosted in Australia on private servers and is not publicly accessible. We do not intentionally transfer Client Content outside Australia except as required to provide the service (for example, where a contracted provider is involved) or as required by law, and only with appropriate safeguards and confidentiality obligations.
11) Children
This app is not intended for use by children without appropriate supervision and authority. We do not knowingly collect personal information from children where prohibited by law.
12) Changes to this Policy
We may update this Privacy Policy from time to time. We will update the effective date above and, where appropriate, provide additional notice.
